Completing an Inspection
Completing an inspection well means observing, documenting, and acting — not just filling in answers. Here’s how to do it right, from start to finish.
Before You Start
- Open InspectU and find the inspection in your queue, or start a new one from the relevant audit template.
- Confirm you’re in the right location and at the right time for the audit to be meaningful.
- Review any open corrective actions from the last inspection in this area — are they closed?
During the Inspection
- Go to the area. Answer questions based on what you observe right now, not from memory or assumption.
- Use N/A accurately. It means the question doesn’t apply to this situation, not that you didn’t check.
- Attach a photo for any finding — pass or fail. Photos create the clearest record.
- Add notes when the answer needs context. “Refrigerator at 43°F, threshold 41°F, dial adjusted” is much more useful than “temp issue.”
- Log corrective actions the moment you find an issue. Assign them before you move to the next question.
Submitting
- Review your answers before submitting. Look for any questions you may have skipped.
- Submit the inspection as soon as you’re done. Don’t leave it as a draft overnight.
- Confirm that corrective actions are assigned with clear owners and due dates before you close out.
Common mistake Completing audits from memory after the fact. If you’re not in the area when you answer the questions, the audit isn’t valid. Always observe, then record. |
