Scheduling an Inspection
The Schedule section is where you create and manage scheduled work in InspectU, including Inspections, Checklists, and Tasks. This article walks you through how to schedule an inspection, assign it to the correct sites and users, and review it before submitting.
To get started, click Schedules in the left-hand navigation menu. You will see three tabs at the top: Inspections, Checklists, and Tasks.
Scheduling an Inspection
Inspections are scheduled reviews that are assigned to specific sites, users, and templates. Creating one takes three steps.
Step 1: Basic Settings
Click the Inspections tab, then click Schedule Inspection.
Fill in the following fields:
Select Organization
Choose the organization this inspection belongs to. Once selected, the available templates and sites for that organization will load.
Inspection Template
Select the inspection template you want to use. Templates help auto-fill the structure and instructions for the inspection.
Inspection Title
Enter a clear title for the inspection. This title should help users understand what the inspection is for.
Board Category
You may add the inspection to a board category. This step is optional, but it can help you organize and track inspection data more easily.
Instructions for Completing and Submitting the Inspection
Review the instructions for completing and submitting the inspection. These instructions will be shown to the assigned users while they complete the inspection.
Due Date
Set the date by which the inspection should be completed and submitted.
Attachments
Upload any reference materials your staff may need while completing the inspection, such as supporting documents, forms, images, or other inspection-related files.
When all required fields are complete, click Next Step.
Step 2: Assignment and Optional Settings
This step determines where the inspection will be completed and who it will be assigned to.
Select Site
Choose the site or sites where the inspection should be completed. You can assign the inspection to multiple sites if needed.
Select Users
Choose the users you want to assign the inspection to. You can assign the inspection to individual users or to groups.
Only users from the selected site, or users from sites within the selected group, will be assigned.
If you want to assign the inspection to everyone in the selected group, remove the site assignment before selecting the group.
Optional Settings
You may also assign the inspection to an asset or make the inspection recurring.
These settings are optional. Separate Help Center videos are available for asset-based inspections and recurring inspections if you would like to learn more about those features.
Click Next Step to continue.
Step 3: Review and Schedule
This step gives you a summary of the inspection before it is scheduled.
Review the inspection details, assigned sites, assigned users, due date, attachments, and optional settings.
If anything needs to be changed, go back and update the information before submitting.
Once everything looks correct, submit and schedule the inspection.
What Happens Next
Once the inspection is scheduled, the assigned users will receive a notification.
Then you’re all set. Your inspection has been scheduled, and you can now wait for your team members to complete and submit their entries.
