Using the Document Hub in InspectU
The Document Hub provides one central place to upload, organize, and share important files, such as policies, employee handbooks, safety data sheets, and reference materials.
Finding a Document
Select Document Hub from the left navigation menu.
Use the search bar to find a document by name. You can also filter documents by visibility:
- Public
- Private
Use the view buttons to switch between the list and grid layouts.
Creating a Folder
Folders help keep related documents organized.
- Select New Folder.
- Enter the folder name.
- Select a parent folder if you want to place it inside an existing folder.
- Add an optional description.
- Select Create Folder.
The new folder will appear in the Folders section.
Uploading a Document
- Select Upload.
- Choose the file from your device.
- Enter a title and an optional description.
- Select the folder where the document should be stored.
- Choose the document’s visibility:
- Private limits access to members of your organization.
- Public allows the document to be shared using a public QR code.
- Select specific sites if only those locations should have access. Leave the site selection blank to make it available organization-wide.
- Select Upload.
A confirmation message will appear when the document has been uploaded successfully.
Viewing a Document
Select the view icon next to a document to preview it without downloading it.
Select View Details to review additional information, including:
- Visibility
- File type and size
- Version
- Person who uploaded the document
- Upload date
- Description
Downloading or Editing a Document
From the document details panel, you can:
- Select Download to save a copy.
- Select Edit to update the document’s information.
- Select Delete to remove the document.
Sharing a Public Document
Public documents include a QR code in the details panel.
Select Download QR Code to save or print it. Staff can scan the code to open and download the public document directly.
