Creating and Managing Logs in InspectU
The Logs page is used to create and manage recurring records, such as temperature logs, cleaning checks, equipment checks, and other routine documentation.
Understanding Templates and Active Logs
A log template contains reusable fields for collecting information.
An active log is the working version that staff use to submit entries. Active logs appear on the Logs page and can be connected to an asset, a site, or the entire organization.
Adding a log template from the Library does not create an active log. You must create the active log before staff can submit entries, scan a QR code, or complete it as a scheduled task.
Finding a Log
Select Logs from the left navigation menu.
Use the search bar to find a log by its name, asset, or site. Select Show Filters to narrow the results by:
- Target type
- Target name, such as an asset or site
The Logs page also shows the number of targets and submitted entries connected to each log.
Creating a Log
- Select Create Log.
- Enter the log name and an optional description.
- Choose a Target:
- No Target creates an organization-wide log.
- Asset connects the log to selected equipment.
- Site connects the log to selected locations.
- Select the asset or site when applicable.
- Choose an existing log template or add your own fields.
- Select who can view the log and submit entries.
- Select Create Log.
The new active log will appear on the Logs page.
Adding Fields
If you are not using a template, select Add Field for each item you want staff to complete.
Available field types include:
- Text
- Number
- Date
- Signature
Fields can also automatically enter information such as the current date and time, logged-in user, organization, site, or selected asset.
Select Required when a field must be completed before an entry can be submitted.
Viewing and Adding Entries
Select a log’s name to open its entries.
From the entries page, you can:
- Select Add Entry to submit new information.
- Select the view icon to review an existing entry.
- Filter submitted entries.
- Export entries as a PDF or CSV file.
When exporting a PDF, you can choose the date range and whether to include signature images.
Scheduling a Log
Select Schedule Task from the log’s entries page to assign the log to staff.
Enter the task details, choose a priority, and assign it to individual users or groups. You can also add a due date or make the task recurring.
An active log must be created before it can be scheduled.
Using a QR Code
Select QR Code to download or print a code for the log. Staff can scan the code from a phone or tablet to quickly open the log and submit an entry.
Additional Actions
Use the Actions menu to:
- Edit a log
- Duplicate a log
- Archive a log
Select Show Archived Logs to view or restore logs that are no longer active.
