How to Create an Inspection in InspectU | Deep Dive
This guide walks you through all three steps required to create a new inspection in the InspectU Admin Dashboard.
Getting Started
To begin, navigate to Schedule in the left sidebar and click Create Inspection, or go directly to app.inspectupro.com/inspections/create. You'll see a progress bar at the top of the page showing your current step.
Tip: Your progress is automatically saved at each step. You can safely close the page at any time and return later to continue editing.
Step 1: Basic Settings
This step captures the core configuration for the inspection.
Select Organization (required) Choose the organization this inspection belongs to from the dropdown. Available organizations are pre-configured in your workspace. The organization you select will determine which inspection templates are available in the next field.
Inspection Templates (required) Once an organization is selected, this dropdown populates with templates specific to that organization. Templates automatically pre-fill most fields and standardize the inspection format.
Selecting a template is optional if you prefer to configure everything manually.
Inspection Name (required) Enter a descriptive name for the inspection. This name is how the inspection will be identified throughout the system.
Categories (required) Select one or more categories to classify the inspection. If you need a category that doesn't exist yet, click the "Create new category" link above the dropdown to add one on the spot.
Instructions For Completing Inspection (required) Use the rich text editor to write instructions that will be shown to the inspector before they begin the inspection. You can use formatting tools (bold, italic, underline, lists) to make the instructions clear and easy to follow. If you selected a template, this field will be pre-populated with template-specific instructions.
Submission Instructions This message is shown to the inspector on the final step of the inspection, just before they submit. Use this to remind them of any final checks, submission procedures, or record-keeping requirements. Like the Instructions field, this also uses a rich text editor.
Due Date (required) Set the deadline by which the inspection must be completed. Click the calendar icon or type directly in mm/dd/yyyy format.
Attachments (optional) Upload reference materials that the inspector may need during the inspection, such as a POS menu list, recent health inspection report, HACCP/Food Safety Plan, or SDS sheets. Supported formats are PDF and images, with a maximum file size of 10 MB per file. Use the drag-and-drop area or click to browse your files.
When all required fields are filled, click Next Step to proceed.
Step 2: Assignment / Recurrence
This step determines who completes the inspection, at which location, and how often it recurs.
Select Site (required) Choose one or more sites (locations) where this inspection will be conducted. You can select multiple sites — a separate inspection will be scheduled for each one. Hover over the info icon for additional guidance.
Select Users (required, per site) After selecting a site, a "Select Users" row appears for that site. Choose one or more users who are authorized to complete the inspection at that location. If multiple users are assigned to a single site, only one of them needs to complete the inspection.
Make Inspection Recurring? This toggle is off by default. Enabling it reveals the following additional settings:
- Recurrence Settings: Choose the frequency of the recurring inspection — Monthly, Quarterly, or Yearly.
- Day of the Month: Select which day of the month the inspection should be scheduled (1–30).
- Due Days: Enter the number of days after the scheduled date that the inspection must be completed by. For example, entering "5" means the inspection will be due 5 days after its scheduled date.
- End Recurrence Date: Optionally choose a date when the recurrence should stop. If left blank, the inspection will recur indefinitely.
- Next Schedules: A preview of upcoming scheduled dates will appear based on your recurrence settings.
When done, click Next Step to proceed.
Step 3: Overview
This final step presents a full summary of the inspection before it is saved or published. Each section displays the value you entered, with an Edit button to go back and make changes.
The overview includes:

Once you have reviewed everything, you have two options:
Save as Draft — Saves the inspection without activating it. The inspection will not be sent to assignees yet. You can return to it later to make further edits and publish when ready.
Schedule — Publishes and activates the inspection. The assigned users will be notified and the inspection will appear in their queue. If recurring, future inspections will be automatically scheduled based on your recurrence settings.
Tips & Best Practices
Use templates whenever possible. Selecting an inspection template in Step 1 pre-fills the instruction fields and ensures consistency across all inspections of the same type.
Assign multiple sites in a single inspection. When the same inspection applies to multiple locations, you can select all relevant sites at once in Step 2 rather than creating separate inspections for each.
Assign multiple users per site. If you're unsure who will be available, assign several users to a site — only one needs to complete it.
Use categories to stay organized. Properly categorizing inspections makes it easier to filter, search, and report on them later.
Save as draft first. If you're not ready to notify assignees, use "Save as draft" so you can review once more before scheduling.
Recurring inspections don't require a manual due date. When the Recurring toggle is on, the "Due days" field replaces the fixed due date from Step 1, allowing each recurrence to have a rolling deadline relative to its scheduled date.
