Plan and Schedule Tasks in InspectU
Tasks in InspectU allow managers to assign routine or planned work to team members. Unlike assignments created after inspections, tasks can be scheduled in advance to ensure regular responsibilities are completed on time.
Tasks are useful for recurring duties such as maintenance checks, operational reviews, or routine inspections that need to be completed on a regular schedule.
How to Create and Schedule a Task
Follow these steps to create a task and assign it to a team member.
1. Open the Task Planner
From your dashboard, click Plan a Task.
2. Schedule the Task
Select Schedule a Task to begin creating a new task.
3. Enter Task Details
Fill in the required information for the task, including:
Task Name – The name of the task
Organization – Select the organization associated with the task
Assigned Team Member – Choose the user responsible for completing the task
Categories – Assign the task to a category if applicable
Instructions for Completing the Task – Provide clear instructions for the assigned user
To-Do List Items – Add specific steps or checklist items that must be completed
Due Date – Set the deadline for completing the task
You can also enable the Recurring Task option if the task needs to repeat on a regular basis.
4. Select Task Status
Choose the status of the task before saving:
Assigned – The task will immediately be assigned to the selected team member
Draft – Save the task without assigning it yet
What Happens After a Task is Assigned
Once a task is assigned:
The selected team member will receive a notification on their mobile device.
The task will appear in their task list within InspectU.
They can view the instructions, complete the checklist items, and mark the task as completed once finished.
Using planned tasks helps organizations stay organized, maintain accountability, and ensure routine work is completed consistently.
