Understanding the Messages Page
The Messages page allows you to communicate with other InspectU users. You can send announcements, reminders, instructions, and updates without leaving the platform.
The people, sites, and groups you can message may vary based on your role and permissions.
Opening the Messages Page
Select Messages from the left navigation menu.
From this page, you can:
- Start a new conversation.
- Read your active conversations.
- Reply to messages.
- Search for a conversation.
- Archive conversations you no longer need in your active list.
Starting a New Conversation
- Select Start New Conversation.
- Choose who should receive the message:
- Sites: Send to users connected to a location.
- User: Send to one or more specific people.
- Group: Send to an existing user group.
- Select the correct site, user, or group.
- Enter your message.
- Select Send.
Always check the recipients before sending your message.
Choosing the Right Recipient
- Use Sites for information that applies to a specific location.
- Use User for a message intended for one or more specific people.
- Use Group when the same message applies to an established team.
Messages can be used for:
- Assignment reminders
- Inspection follow-up
- Corrective-action instructions
- Upcoming deadlines
- Policy announcements
- General team updates
Viewing a Conversation
Your active conversations appear in the list on the left side of the page.
Select a conversation to view:
- The original message
- The sender and participants
- The date and time it was sent
- Replies from other participants
Each conversation keeps the original message and all replies together.
Replying to a Message
- Open the conversation.
- Select the Write a comment field.
- Enter your reply.
- Select the send icon.
Your reply will be visible to everyone included in the conversation.
Searching for a Conversation
Use the search field above the conversation list to find a message.
You can search using a recipient name, conversation name, or message title.
Archiving a Conversation
Archive a conversation when it is complete or no longer needs your attention.
- Find the conversation in the active list.
- Select the archive icon.
- Confirm the action if asked.
Archiving removes the conversation from your active list but does not delete its messages.
Viewing or Restoring Archived Conversations
Select Show Archived Threads to view archived conversations.
To return a conversation to the active list:
- Find the archived conversation.
- Select the restore icon.
- Select Show Active Threads to return to your active conversations.
A delete option may also be available. Only delete a conversation if you are sure it is no longer needed, since deletion may be permanent.
Helpful Tips
- Keep messages short and easy to understand.
- Include due dates when sending reminders.
- Review the original message before replying.
- Search for an existing conversation before starting a new one.
- Archive completed conversations to keep your list organized.
- Confirm the recipients before selecting Send.
- Do not include confidential information unless all recipients are allowed to see it.
