Understanding the Templates Page in InspectU
The Templates page is where administrators create and manage reusable forms for inspections and logs.
Using templates helps your organization collect information consistently. The options you see may vary based on your role and permissions.
Opening the Templates Page
Select Templates from the left navigation menu.
The page has two tabs:
- Templates: Forms used to create and schedule inspections.
- Log Templates: Forms used to create active logs.
Inspection Templates
The Templates tab shows the inspection templates available to your organization.
From this page, you can:
- Create a template.
- Preview its questions and sections.
- Schedule an inspection.
- Download a PDF copy.
- Edit, duplicate, or archive a template.
Previewing a Template
Select the template name or choose Preview from the Actions menu.
The preview may include:
- Template name and description
- Inspection sections
- Questions and response options
- Instructions
- Attached documents
Preview the template before scheduling it to make sure it includes the information you need.
Scheduling an Inspection
To schedule an inspection from a template:
- Find the template you want to use.
- Open the Actions menu.
- Select Schedule.
- Review the inspection name and instructions.
- Choose a site.
- Assign the inspection to users or a group.
- Select a due date and recurrence, if needed.
- Select Schedule.
Scheduling creates an active inspection assignment. The original template remains available for future use.
Creating an Inspection Template
- Select Create Template.
- Enter a clear template name.
- Add instructions for completing and submitting the inspection.
- Upload any helpful documents.
- Create sections to organize related questions.
- Add the questions and response options.
- Review and save the template.
Use clear section names such as Food Safety, Equipment, Corrective Actions, or Signatures.
Downloading a PDF
Select Download as PDF to create a printable copy of a template.
A completed paper copy will not automatically be added to InspectU. Any results that need to appear in the platform must be entered separately.
Managing Inspection Templates
Open the Actions menu to:
- Preview the template.
- Schedule an inspection.
- Edit the template.
- Duplicate it to create a similar template.
- Archive it when it is no longer needed.
Changes made to a template apply to future inspections. Existing assignments may need to be updated separately.
Select Show Archived Templates to view or restore archived templates.
Adding Templates From the Library
The Library contains ready-made templates that you can add to your organization.
- Select Go to Library.
- Search or filter the available templates.
- Select View to preview a template.
- Select Add Template.
The template will appear on your Templates page after it is added.
Adding a template does not schedule an inspection. You must schedule it before it becomes an active assignment.
Log Templates
The Log Templates tab contains reusable forms for collecting information such as temperatures, cleaning records, or equipment checks.
Log Template vs. Active Log
It is important to understand the difference:
- A log template is the reusable form that contains the fields you want to collect.
- An active log is the live log where users record entries.
Adding or creating a log template does not create an active log. You must go to the Logs page and create the log before users can enter information or access it through a QR code.
Creating a Log Template
- Open the Log Templates tab.
- Select Create Template.
- Enter a name and short description.
- Select Add Field.
- Enter the field name and choose its type.
- Add all required fields.
- Select Create Template.
Field types may include:
- Text
- Number
- Date
- Time
- Signature
You may also be able to make a field required or have InspectU automatically enter information such as the date, time, user, site, or selected asset.
Managing Log Templates
Open the Actions menu to:
- Preview the template.
- Edit its fields or settings.
- Duplicate it.
- Archive it.
Select Show Archived to view or restore archived log templates.
Adding Log Templates From the Library
- Select Go to Library.
- Open the Logs tab.
- Search for or preview a log template.
- Select Add Template.
The template will appear under Log Templates. You must still create an active log from the Logs page before your team can record entries.
Searching for Templates
Use the tools at the top of each tab to find a template:
- Enter its name in the Search field.
- Select Show Filters for more options.
- Select Apply Filters to update the list.
- Select Clear All Filters to see every template again.
You can also sort the list and change how many templates appear on each page.
Helpful Tips
- Use clear names that explain each template’s purpose.
- Preview templates before using them.
- Keep instructions and log fields short and easy to understand.
- Duplicate an existing template when creating a similar form.
- Archive templates that are no longer used.
- Remember: templates are reusable forms. They do not become active inspections or logs until you schedule or create them.
